Registration Policy

Please read the registration information carefully before starting the online registration process.

All accepted papers must be covered by a full (or life member) registration by at least one co-author (not a student registration) for ICSME, SCAM, and VISSOFT. Authors of accepted papers must register by the Early Registration deadline of August 1st, 11:59 pm AoE (August 2nd, 11:59 pm NZ Time) Each full (or life member) registration for an event may cover up to two papers co-authored for the same event.

Exceptions: Doctoral Symposium (early), Registered Reports, and Journal First Track papers do not require a full registration if presented by a student.

(a) Only current IEEE members are eligible for the member rate. During the registration process, members will be asked to provide their membership number.

(b) A student is defined as a holder of a student identification card from a recognized tertiary or secondary educational institution or an international student card. Students must be currently enrolled in part-time or full-time studies to qualify for the discounted rate. Students will be asked to provide proof of student status during the registration process.

Please note that all prices are listed in New Zealand Dollars and include a 15% Goods and Services Tax.

Attendees will be able to pay instantly using their credit card. A non-refundable 1.9% credit card convenience fee will be applied to credit card payments.

ICSME Conference registration types include access to all ICSME conference sessions, conference materials, daily coffee breaks and lunches during ICSME, Wednesday 10 September Welcome Reception, and the Thursday 11 September Conference Banquet.

SCAM and/or VISSOFT Conference registration types include access to SCAM and/or VISSOFT conference sessions, conference materials, daily coffee breaks and lunches during SCAM and/or VISSOFT, and the Monday, 8 September Joint SCAM and VISSOFT Conference Banquet.

Additional Conference Tickets

Additional tickets may be purchased for guests wishing to attend the social functions:

• Conference banquets (for ICSME banquet) on 11 September for NZ$200 each

• Conference banque(forSCAM/VISSOFT joint banquet) on 8 September for NZ$180 each

• Welcome reception (for ICSME) on 10 September for NZ$85 each

Cancellation and Refund Policy

No refund will be provided for an activity in which you are the author of a paper, unless you provide the name of another co-author who will be presenting, and that author has already registered for that activity. No refund will be provided if a letter of invitation has been issued to enable you to obtain a visa, unless you include a letter from Immigration New Zealand clearly stating that your application for a visa to attend ICSME 2025 has been withdrawn or denied. All other registrations are refundable. You may request a partial refund until August 23rd, 2025 (AoE time) August 24th, 2025 (New Zealand Time) A minimum of NZD $100 administrative fee will be applied to canceled registrations.

Refund timeframe and amount (all in NZ time):**

• Before August 7th, 2025:

  • Registration package/session fees - The maximum refund will be the amount you paid, minus a NZD $100 administrative fee.
  • Additional social function tickets fees - The maximum refund will be 90% of the amount you paid for the additional social function tickets.

• Between August 7th and August 24th, 2025:

  • The maximum refund will be 50% of the total amount paid.

• After August 24th, 2025:

  • No refund.
